Privacy at The Engineering Link Group
TELG is committed to protecting the personal information of students, parents, schools, teachers, partners and supporters involved in our STEM programs.
Our commitment
The Engineering Link Group collects only the information reasonably necessary to deliver safe, effective and well-managed STEM programs and events. We manage personal information in accordance with good privacy practice, the Australian Privacy Principles, and principles aligned with the Queensland privacy framework.
TELG works with students aged approximately 13–18 years, so we take additional care when handling student information, health information, emergency contact details and media consent preferences.
Information we collect
Participant details
Student name, school, year level, program selection and attendance information.
Parent and emergency contact details
Parent/carer contact details and emergency contact information needed for event administration and safety.
Health and consent information
Relevant medical conditions, allergies, dietary requirements, accessibility needs and photography or media consent preferences.
Information we do not routinely collect
To reduce privacy risk, TELG does not routinely collect Medicare numbers, Medicare card details, family doctor details or full residential addresses unless there is a specific and justified operational requirement.
How we use information
Program administration
To process registrations, communicate with participants and schools, and manage event logistics.
Participant safety
To manage emergencies, allergies, medical needs, dietary requirements and reasonable adjustments.
Reporting and improvement
To evaluate TELG programs and provide de-identified or aggregated reporting to partners, sponsors and funding bodies.
Sharing information
TELG may share information with schools, event venues, university partners, emergency services, insurers and service providers where this is necessary for program delivery or participant safety.
TELG does not provide identifiable student information to sponsors without specific consent. Sponsors may receive aggregated or de-identified participation information for reporting purposes.
Storage and security
TELG uses Event Espresso for registrations, Microsoft 365 for email and SharePoint for secure document storage. Access to participant information is restricted to authorised personnel with an operational need to access it.
